Surveillance cameras are widely used in the workplace today. What provisions must be taken at the time of installing the device?

These people must be particularly trained and made aware of the rules for implementing a video surveillance system. Access to the images must be secured to prevent everyone from viewing them.
How long should you keep the images?
The employer must define the retention period for images from cameras.
This duration has to be linked to the objective followed by the cameras. In opinion, this period does not surpass one month. As an over-all rule, keeping the imageries for some days is adequate, except in excellent circumstances, to perform the essential verifications in the event of an incident and allows any disciplinary or criminal proceedings to be initiated. If that kind of events are instigated, the images use to be then mined from the device (after recording this operation in a specific notebook) and kept for the duration of the process.
The persons concerned (employees and visitors) must be informed, by means of signs posted permanently, in a visible manner, in the places concerned, which include at least, in addition to the pictogram of a camera indicating that the place is placed under video protection:
- The purposes of the processing installed;
- The retention period of the images;
- The name or position and telephone number of the data protection officer (DPO);
- The presence of Data Protection rights ;
- The right to lodge a complaint with the National Commission for Informatics and Freedoms (CNIL), specifying its contact details.
